Forrester Research (www.forrester.com) indicates that organizations will continue to invest in ECM technology, “with an emphasis on improving content search, sharing, and compliance”. Forrester also indicates that while enterprises prefer end-to-end ECM suites that cover all content needs, they will continue to have “multiple ECM point products and / or solutions in place”.
Confirming what experienced ECM users already know, Forrester states that the majority of firms can’t prove ROI, but that investment in the technology continues to have great value in improving worker productivity as the amount of managed content increases. These kinds of “soft” benefits continue to fuel the ECM industry, even in a down economy.
With the trend toward multiple ECM solutions in the same organization, firms find it increasingly important to provide business users with federated and transparent access to content stored in otherwise disparate content silos. This federated access must be highly configurable, so that users with different job responsibilities, and business needs, can make the best use of ECM technology.
Industry leaders have been slow to respond at the user access level, leaving the business of providing the effective interfaces to custom builds by customers and developers.
Industry watchdog, Gartner (www.gartner.com) recenlty estimated that “80% of content is unstructured” and “90% is unmanaged“.
With evolving requlatory rules and requirements, companies know they need to do something to better manage content, but many just don’t know how to go about it. Truth is, content management can be tricky, and expensive. Implementing the wrong solution, or one that does not meet your total needs can only add ‘insult to injury’ when you have to find a new solution, undertake a large migration effort, and retrain users on a new system.
Today’s information-hungry companies want to capture, evaluate, and repurpose data on customers, industry trends, the markets they serve, their vendors, and the competition. Even information from internal systems, can provide valuable insight into how to better run the business and be more competitive. This content can originate from dozens, or even hundreds, of internal business systems, and be in any number of standard and non-standard formats.
Smart companies know that in order to be successful, they need to develop a content strategy that includes what content is valuable, where it originates, how it can be used and for what purposes, and how long it should be maintained before it can become a liability rather than an asset. In addition, they need to weigh the investment needed to capture and manage it, both initial and ongoing costs, and more importantly, have a full understanding on the benefits and ROI that their content management solution brings to the organization.
